Mô tả công việc

Chúng tôi đang tìm kiếm một Điều phối viên Vận hành (Operations Coordinator) đáng tin cậy và tỉ mỉ để hỗ trợ quản lý các hoạt động đặt lịch hẹn hằng ngày. Vai trò này đóng vai trò quan trọng trong việc đảm bảo xác nhận lịch hẹn kịp thời, tuân thủ các cam kết mức độ dịch vụ (SLA), và phối hợp trơn tru giữa người dùng, bác sĩ và các đội ngũ nội bộ của WhiteCoat.

Đây là vị trí làm việc từ xa, đặt tại Việt Nam, hỗ trợ theo khung giờ làm việc của Hồng Kông, bao gồm sáng sớm và ngày Thứ Bảy.

Trách nhiệm chính

Quản lý lịch hẹn (Trách nhiệm cốt lõi)

• Theo dõi các yêu cầu đặt lịch hẹn gửi đến qua email và hệ thống nội bộ

• Phân bổ lịch hẹn cho các bác sĩ theo lịch trực dựa trên:

• Yêu cầu ngôn ngữ

• Sự sẵn có và năng lực tiếp nhận của bác sĩ

• Tự thực hiện xác nhận lịch hẹn thông qua hệ thống CRM nội bộ

• Đảm bảo tất cả các lịch hẹn được xác nhận trong thời gian SLA quy định

Tiếp nhận & điều phối yêu cầu

• Phản hồi xác nhận các yêu cầu từ người dùng hoặc bác sĩ trong thời gian SLA quy định

• Chuyển tiếp các yêu cầu đến các bộ phận nội bộ phù hợp của WhiteCoat để xử lý tiếp

• Theo dõi và đảm bảo việc bàn giao thông tin rõ ràng, đầy đủ

Trách nhiệm phụ

• Báo cáo các trường hợp bất thường, tình huống đặc biệt hoặc vấn đề về năng lực tiếp nhận cho quản lý thị trường

Thời gian làm việc

• Làm việc theo ca, tổng cộng 40 giờ/tuần, bao gồm ngày Thứ Bảy

• Ví dụ: Thứ Hai - Thứ Sáu: 8:30 sáng - 2:30 chiều; Thứ Bảy: 8:30 sáng - 7:30 tối

• Kết hợp làm việc từ xa và làm việc tại văn phòng

• Ngày nghỉ lễ áp dụng theo lịch nghỉ lễ của Hồng Kông

What you will be doing

We are looking for a reliable and detail-oriented Operations Coordinator to support the day-to-day management of appointment bookings. This role is critical to ensuring timely appointment confirmations, adherence to service level agreements (SLAs), and smooth coordination between users, clinicians, and internal WhiteCoat teams.

This is a remote role, based in Vietnam, supporting Hong Kong operational hours, including early mornings and Saturdays.

On a day-to-day basis, this means you will:

Appointment Management (Core Responsibility)

• Monitor in-bound appointment booking requests via email and internal system

• Assign appointments to rostered clinicians based on:

  • Language requirements

  • Clinician availability and capacity

• Confirm appointments independently using the in-house CRM system

• Ensure all bookings are confirmed within defined SLAs

Enquiry Acknowledgement & Routing

• Acknowledge in-bound user or clinician enquiries within defined SLAs

• Route enquiries to the appropriate WhiteCoat internal teams for follow-up

• Track and ensure handovers are clear and complete

Secondary Responsibilities

• Flag unusual cases, edge scenarios, or capacity issues to the in-market lead
