What you will be doing

We are looking for a reliable and detail-oriented Operations Coordinator to support the day-to-day management of appointment bookings. This role is critical to ensuring timely appointment confirmations, adherence to service level agreements (SLAs), and smooth coordination between users, clinicians, and internal WhiteCoat teams.

This is a remote role, based in Kuala Lumpur, supporting Hong Kong operational hours, including early mornings and Saturdays.

On a day-to-day basis, this means you will:

Appointment Management (Core Responsibility)

• Monitor in-bound appointment booking requests via email and internal system

• Assign appointments to rostered clinicians based on:

  • Language requirements

  • Clinician availability and capacity

• Confirm appointments independently using the in-house CRM system

• Ensure all bookings are confirmed within defined SLAs

Enquiry Acknowledgement & Routing

• Acknowledge in-bound user or clinician enquiries within defined SLAs

• Route enquiries to the appropriate WhiteCoat internal teams for follow-up

• Track and ensure handovers are clear and complete

Secondary Responsibilities

• Flag unusual cases, edge scenarios, or capacity issues to the in-market lead

What we are looking for

Qualifications:

• Strong attention to detail and ability to follow structured workflows

• Proactive mindset, comfortable working independently while collaborating closely with a remote team

• Ability to manage time-sensitive tasks and adhere strictly to SLAs

• Comfortable working with CRM systems and Email-based workflows

• Clear written communication skills in English
